Can an overseas buyer place a large hospital seating order without visiting the manufacturer's factory? Our Costa Rica project shows how clear communication, remote product verification and transparent quality inspections can help make it possible.
WINNER FURNITURE received an online inquiry from a trading company based in Heredia, Costa Rica, for a hospital seating project at SIRE Medical. The inquiry developed into an order covering 770 seats across two product lines: 420 WQ42 stackable chairs and a W9960A row seating system, recorded as 350 rows in the original project details.
Throughout the process, the buyer did not visit our factory in person. Instead, product discussions, specification confirmation, quality checks and shipment updates were handled remotely through WhatsApp, live video calls and photographs.
From the initial inquiry to production, inspection, packing and container loading, the project demonstrated how a structured remote purchasing process can help overseas buyers evaluate a furniture supplier with greater confidence.

The project involved supplying seating for a hospital in Costa Rica. The buyer needed to confirm suitable products, verify quality and coordinate a bulk order without conducting an on-site factory visit.
The order included two seating product lines:
WQ42 Stackable Chair: 420 pieces.
W9960A Row Seating System: Recorded as 350 rows in the project details.
The products were prepared for export shipment to Central America after production and inspection.
For international furniture buyers, large orders involve more than choosing a model and agreeing on a price. Product specifications, appearance, structural quality, packaging and delivery coordination all need to be confirmed before shipment.
In this case, the buyer relied on direct communication and visual verification to review the order at key stages. This allowed the project to proceed without requiring the client to travel to China.
The project began when the Costa Rican trading company contacted WINNER FURNITURE online with its hospital seating requirements.
Our team maintained close communication with the buyer to clarify the requested models, confirm product specifications and answer questions throughout the quotation process.
Rather than relying on a single product presentation, the discussions focused on the actual requirements of the order. This helped both parties establish a shared understanding of the products and the expected delivery arrangements.
After the specifications and commercial details had been discussed, WINNER FURNITURE issued a proforma invoice covering the order.
The buyer was satisfied with the quotation and the responsiveness of our team, paid the deposit and authorized production to begin.
This stage highlights an important consideration for overseas B2B purchasing: timely responses and clear documentation can help buyers move from initial product inquiries to a confirmed order, even when direct factory visits are not possible.

For many overseas buyers, one of the main challenges of purchasing furniture online is the inability to inspect the products in person before production or shipment.
Photographs and product descriptions provide useful information, but buyers may also need to verify details such as frame construction, color consistency, surface finish and packaging condition.
Throughout the Costa Rica project, WINNER FURNITURE used WhatsApp and live video calls to maintain direct communication with the buyer.
These channels supported several parts of the purchasing process:
Product confirmation: The team discussed the requested models and specifications with the buyer.
Question resolution: Questions were addressed promptly to reduce uncertainty before production.
Visual verification: Live video calls allowed the buyer to review selected products and inspection details.
Progress updates: Photographs shared through WhatsApp provided a record of the products and their preparation.
Shipment coordination: The buyer received visual updates during the container-loading process.
This approach made communication an integral part of order management rather than an activity limited to the quotation stage.
For buyers sourcing hospital waiting chairs or other public seating from overseas, the ability to review products and receive timely updates can be an important factor when evaluating a potential supplier.

Product quality was a key concern throughout the order. Because the buyer could not visit the factory, remote inspection became an important part of the approval process.
WINNER FURNITURE arranged pre-shipment inspections at key production milestones. The quality-control team sampled chairs from the order and reviewed several details before shipment.
The team checked the appearance and color consistency of the sampled products. This was important for ensuring that the products presented for inspection were consistent with the agreed requirements.
The sampled chairs were checked for frame sturdiness as part of the inspection process. Structural condition is an important consideration for seating intended for regular use in public and healthcare environments.
The team examined the visible surface finish to identify inconsistencies or defects that required attention before packing.
Packaging was also reviewed to confirm the condition of the cartons before shipment preparation.
During live video calls, our team showed the buyer the sampled products and walked through the relevant inspection points. Photographs shared through WhatsApp provided additional visual records that the buyer could review when needed.
After reviewing the inspection information, the buyer approved the goods.
Remote inspection does not replace every possible form of physical testing, but it can provide overseas buyers with a clearer view of the products and the checks performed before shipment. For larger orders, agreeing on inspection criteria in advance can make this process more effective.

Once the products had passed the relevant inspection and approval stages, the order moved to packaging and shipment preparation.
Packaging is an important part of international furniture transportation. Products may be handled several times between leaving the factory and reaching their destination, so suitable packaging helps reduce the risk of damage during storage, loading and transit.
For this project, the finished chairs were packed individually in cartons before being prepared for container loading.
The team also kept the buyer informed through photographs and messages as the shipment progressed. This allowed the client to follow the preparation process remotely rather than waiting until the final shipment update.
For buyers placing bulk furniture orders, packaging arrangements should be discussed alongside product specifications and production schedules. Carton dimensions, packing methods and loading arrangements can all affect how an order is prepared for export.

The final stage documented in the project was container loading.
As the packed chairs were loaded into containers for transportation to Costa Rica, WINNER FURNITURE shared photographs with the buyer through WhatsApp.
The updates covered the loading process from the initial empty container through the placement of cartons inside the container. The buyer could follow the progress in real time through the shared images and communication.
This level of visibility helped connect the factory's final preparation work with the buyer's shipment coordination.
For overseas purchasing teams, container-loading updates can provide useful confirmation that the order has progressed from finished products to export preparation. They also create a visual record of the loading process for reference.
Once the containers were loaded, the goods were ready for their journey to Central America.
The Costa Rica project demonstrates that successful remote purchasing depends on a coordinated process rather than a single communication tool.
Several factors supported the order.
The team maintained direct contact with the buyer, clarified product requirements and answered questions throughout the quotation and production process.
Discussing the product models and specifications before production helped establish a clear basis for the order.
Live video calls and photographs allowed the buyer to review sampled products and relevant inspection points without traveling to the factory.
Photographs shared during packaging and container loading helped the buyer follow the progress of the order.
Communication continued beyond the initial sale, covering inspection, packaging and loading. This gave the buyer visibility into the main stages of the purchasing process.
For international buyers, these practices can help reduce uncertainty when working with a supplier remotely. They also illustrate why communication, documentation and execution should be considered alongside product price when selecting a furniture supplier.

WINNER FURNITURE supports overseas buyers sourcing seating for hospitals and other public environments. As the Costa Rica project demonstrates, an on-site factory visit is not the only way to review products, discuss specifications and follow an order.
Through product confirmation, remote inspection, progress updates and shipment coordination, our team works to provide buyers with a clearer view of their orders at key stages.
